Arroyo Seco private rental: March 22nd, 23rd
Jan 28th, 2010, 7:54pm

So here's the scoop..

We'll leave Sunday afternoon, March 21st.  I'm covering the deposit so between the 4 of you, you'll need to cover the rest of the track fee which is 400.  In case you're wondering, the normal rate is $500/day.  I think there is also going to be a $15/rider fee that for some reason he keeps seperate.. whatev. Smiley  Plan on Worst-case being $130 total per each of you (split the second half of the cost, plus $15/day.. i dont know if its $15/day or $15/event, but just be prepared.)

Mike and I are going to prep my dad's RV and flatbed trailer for the 5 bikes sometime in Feb.

Chris is still planning on going, but for now is planning on not riding.  This means we need a 5th rider.  It is capped at 5 riders, if we brought 6 riders, we have to pay event insurance of $275/day (ish) and that math works out to the cheapest per person needing 8-10 riders.

So its Me, Mike, Robyn, Rudy for riders, and Chris for shotgun and cheerleading.  I've been in contact with Roger, who owns the track, and he sounds like a way cool guy.  We'll bring my parents' RV and Chris and I have been talking about setting up a projector and whatnot outside and doing up a full movie set-up so we can chit chat maybe around a fire or something while the movie is going and we're waiting for the sun to come up.

What else are we missing?

Edit:  Here's our roster so far..

Josh: Confirmed
Mike: Confirmed
Robyn: Confirmed
Jon: Confirmed
Tim:  Reserved
Rudy:  Reserved
Nathan: Interested
Wendi: Interested
Chris:  Interested (wouldn't be riding, so not paying anything)

Confirmed = Paid
Reserved = They're going, but haven't paid yet (that's ok!)
Interested = They may decide to go last minute, if they get the sand out..

We were talking to Nathan today and he was asking questions about the possibility of 7 riders.  Here are the costs as best I can tell, worse-case scenario (Which I believe is the accurate calc..)

Track Rental = $1000 (2 days)
Insurance = $550 (~$275/day)
Per-rider fee = $210 ($15/day/rider, $30/rider)

Total: $1760

The first $700 is already taken care of. Cheesy

that leaves 1060 to split among six of you which is $176 TOTAL per each of you at 7 total.  If we go to 8, the $210 goes to $240, bringing the total to split to $1090, making the per/each of you $155.

Can someone check my math and make sure I'm not high?

Count me in!!! (wait... who is this guy?!?)

Adrenaline should have my check for deposit waiting for you, if he hasn't been out buying new repsol toys today.

Ordered new chain, f&r sprocket and adjuster today and now tracking down a pit bull today to get the duc back on the road. It's been sitting in my living room since the 'tornado warning' and although it makes for a unique conversation piece, I need to get back out on the road.

Looking forward to this trip!

So far, I'm thinking I'd like to be on the road from my house by 10am.  I need to stop by Inde Motorsports Ranch in Wilcox for something I'll explain later, but only need to be there for a meet-n-greet and quick walk of the track.  From there, it's on to Deming.

So Rudy brought up the point of making sure we all know who's all doing what, bringing what, etc.

I'll have the RV and am going to try to confirm with Toni/Lucas using their trailer.  On that trailer will be me, Jon, Rudy, Tim.  Tim and Jon, make sure you guys have Canyon Dancers and tie-down straps.  To be safe, plan on having 4 straps, and try to bring decent ones that lock well and not crappy ones that use friction-based locking mechanisms.  They have "motorcycle specific" ones that are more expensive at Cyclegear, but really it just comes down to getting decent ones that lock well so your bike doesn't fall over on to another bike like what happened a couple years back.

The RV has a sleeper for two in the back.  I figured I'd put Robyn and Mike back there.  There is a couch bed in the midsection that I've laid dibs on.  We could probably sleep one more guy in there somewhere, but I also have a tent and lots of blankies, so some of you will need to bring sleeping bags or air matresses, etc, whatever you're comfortable "camping" with.

I'm going to bring a table, a projector (I think Chris said he may have one we can use?) and a sound system so we can watch movies at night.  I'll have my laptop, as well as my camera gear.

Rudy, did you want to bring your portable firepit?  If so, we should get some wood too.

As far as food, everyone should plan on bringing enough food to feed themselves.  I have a fridge and freezer available, and a gas stove, etc.  I was going to bring a cooler full of water and maybe some gatorade or something.

I'm also bringing my own toothbrush, and no Mike you can't borrow it :p

What else should we be thinking of?

Oh yes spare gas cans is a good one. Are you guys taking a generator for misc things? Gas to run that too? Here's a couple of things that might be needed, just some of my thoughts...

Air compressor for tire adjustments?
Shower/bath stuff, where is the shower for all of you anyway lol.
Pillows
Phone chargers, camera chargers, computer chargers etc. Cords!
Self starting charcoal for the pit to make things easier possibly
Anti-fog and shield cleaners

Good stuff Alan!!

I'll have my spiffy new gas can, and I have a spare somewhere if someone wants to borrow it.

We have a shower in the RV, but don't plan on any long theraputic showers hehe

Cleaning supplies is good too, hadn't thought of that

I'd like to call dips on that.

I have a 15 degree bag and tent that I am fine sleeping in; there is a good chance one of you is going to be snoring and I want to be able to sleep. I also have a 10' x 10' canopy, a couple of folding chairs and other camping gear if we need it.

I'll be picking up the Canyon Dancer along with a pair of boots. Will ratchet ties suffice otherwise?

I need to figure out how to get my bike over there before the trip and prep for the track....

Hey seven4eight, I'm not sure we even met lol but I see you live in Tempe as do I. Most of these guys know that I have to be in Vegas for a wedding when you guys are at the track. However, if you were thinking of getting your bike to Josh's earlier in the week I'd be more than happy to trailer it over there if you need. I'm leaving for Vegas on the 19th but could take it with you Wed or Thurs if you needed. LMK.
